How does the AI agent access data in my Ninox databases?

The agent uses Ninox's REST API with your Personal Access Token. It can list all databases within a workspace by team ID and access individual records using the database, table, and record identifiers. Data is fetched in JSON format and presented conversationally.

Can the agent query specific records by field values, or only by record ID?

The current integration accesses records by their Ninox identifiers (team ID, database ID, table ID, record ID). For field-based lookups, you can configure your agent to guide users in identifying the correct record ID first, or use Ninox's API filtering capabilities through custom configurations.

What permissions does the Ninox Personal Access Token grant?

The Personal Access Token provides access to all workspaces and databases associated with your Ninox account. It supports read and write operations including listing databases and deleting records. Generate it from the Integrations section of the Ninox web app.

Does Tars store my Ninox database records?

No. All database queries happen in real time through Ninox's API. Record data is fetched during the conversation and used only to generate responses. Tars does not cache, replicate, or persist any records from your Ninox databases.

Can the agent delete records, and is there a safeguard against accidental deletions?

Yes, the agent can delete records by their full identifier path (workspace, database, table, record). You can configure Tars to require explicit confirmation before executing delete operations, preventing accidental data loss during conversations.

How is this different from using the Ninox mobile app to manage data?

The Ninox app requires navigating through tables and forms manually. Tars lets you or your team query and manage Ninox data through natural language in any messaging channel. Non-technical team members can access database information without learning the Ninox interface.

Can the agent work with multiple Ninox workspaces simultaneously?

Yes. The agent accepts workspace (team) IDs as parameters. If your organization has multiple Ninox workspaces, the agent can query databases across any of them by specifying the appropriate team ID in each request.

What happens if the agent tries to access a database that has been deleted?

The Ninox API returns an error for invalid database or workspace IDs. The agent reports the issue clearly and suggests verifying the identifiers. It can also list all current databases in a workspace to help the user locate the correct resource.
