How does the AI agent find a specific person's form submission in Fillout?

The agent calls Fillout's Get Submissions endpoint for the relevant form, then filters results by the customer's email address or other identifying information they provide during the conversation. Fillout's API supports date range filtering and pagination, so the agent can narrow results efficiently even across forms with thousands of responses.

Can the agent tell a customer what questions are on a form before they start filling it out?

Yes. The agent retrieves form metadata from Fillout, which includes all question fields, their types, and labels. It can describe what information the form collects, how many pages it has, and whether conditional logic might show additional questions based on answers.

What Fillout API key permissions does Tars need?

Tars needs a standard Fillout API key generated from your Developer settings tab. This key grants read access to your forms and submissions. Fillout API keys are account-level, and all API requests are rate-limited to 5 calls per second. You can regenerate or revoke the key at any time from your Fillout dashboard.

Does Tars store copies of my Fillout form responses?

No. Tars queries Fillout's API in real time during each conversation. Submission data, respondent emails, and form answers are fetched live and used only to respond to the current inquiry. We do not maintain a separate database of your Fillout data.

Can the agent handle forms that use Fillout's conditional logic and multi-page layouts?

The agent retrieves submitted responses regardless of whether the form used conditional logic or multiple pages. Each submission includes only the fields the respondent actually saw and completed, so the agent presents accurate data reflecting the exact path each person took through the form.

What if a customer asks about a submission from months ago?

The agent can access your complete submission history in Fillout. Whether the response was submitted yesterday or six months ago, as long as it exists in your Fillout account, the agent retrieves it. Fillout's API supports date-range filtering to locate older entries quickly.

How is this different from Fillout's built-in email notifications?

Fillout notifications tell you when someone submits a form. Tars AI Agents let your customers ask about their own submissions, get routed to the right form, and receive instant confirmation, all through a live conversation. It is the difference between one-way alerts and interactive, two-way support.

Can the agent create new form submissions on behalf of a customer?

Fillout's API supports creating submissions programmatically. If configured, your agent can collect answers during the conversation and submit them to Fillout directly, up to 10 submissions per request. This is useful for intake forms, feedback collection, or registrations where a conversational format is more engaging than a static form.
