Frequently Asked Questions

What Fathom meeting data can the AI agent access?

The agent can retrieve meeting lists (filtered by date, team, domain, and meeting type), full transcripts with speaker labels and timestamps, AI-generated summaries, action items, and CRM match data. It can also list teams and team members within your Fathom organization. All data is fetched in real-time from Fathom's API.

Can the agent search for meetings with a specific company or client?

Yes. Fathom's List Meetings endpoint supports filtering by calendar_invitees_domains. Your agent can search for all meetings with attendees from a specific company domain, like acme.com, and return matching recordings. You can also filter by internal-only or external meetings.

How do I get my Fathom API key to set up the integration?

Navigate to your Fathom account, open User Settings, and go to the API Access section. Generate or copy your API key from there. Then paste it into the Tars dashboard when adding the Fathom tool. The key provides access to your recordings, transcripts, and team data through the API.

Does the agent access recordings from all team members or just mine?

This depends on your API key's permissions. Fathom supports filtering by recorded_by email addresses and by team names. If your key has organization-level access, the agent can query meetings across the team. Individual keys may be limited to your own recordings and those shared with you.

Can the agent set up webhooks to automatically push meeting data somewhere?

Yes. The agent can create Fathom webhooks that deliver transcripts, summaries, action items, or CRM matches to any HTTPS endpoint whenever a recording is processed. You choose which data types to include and which recording categories to monitor (your recordings, shared recordings, or team recordings).

How is this different from just using the Fathom app directly?

The Fathom app requires you to log in, browse recordings, and click into each one. With Tars, you ask a question in natural language and the agent finds the right meeting, pulls the transcript or summary, and delivers the answer inline. It is especially useful during other meetings, in Slack, or when you need quick access without context switching.

What happens if a meeting transcript is still processing when I ask for it?

Fathom's API supports asynchronous delivery through a destination_url parameter. If a transcript is not yet ready, the agent can request asynchronous delivery to a webhook endpoint. For summaries and transcripts that are already processed, results come back immediately in the conversation.

Does Tars store copies of my Fathom meeting transcripts?

No. Tars fetches transcripts, summaries, and action items from Fathom in real-time during each conversation. The data is used to generate the response and is not stored in a separate database. Your meeting recordings and their content remain in Fathom's infrastructure under your account's control.
