How does the AI agent access team member data from Clockify?

The agent authenticates using your Clockify API key and queries the workspace users endpoint. It can retrieve all members, filter by name or email, and return details like role, membership status, and user groups. Data is fetched in real time from your Clockify workspace, nothing is stored separately.

Can the agent look up holidays assigned to a specific team member?

Yes. The agent calls Clockify's Get Holidays in Period endpoint with a specific user ID and date range. It returns holidays assigned to that individual, which is useful for checking whether someone is available on a particular date before scheduling meetings or assigning tasks.

Where do I find my Clockify API key for the Tars integration?

Go to your Clockify account, open Profile Settings, and click 'Generate' under the API section. Copy the key and paste it into the Tars dashboard when adding Clockify as a tool. If your workspace uses a subdomain, generate a new key specifically for that workspace.

Does Tars store my Clockify workspace data or time entries?

No. Tars queries your Clockify workspace in real time through the API. Member profiles, client details, and holiday schedules are fetched live for each conversation and used only to generate the response. No Clockify data is persisted in our systems.

Can the agent create clients and manage workspace records?

Yes. The agent can create new clients in your Clockify workspace by providing name, email, address, and notes. It can also retrieve and display existing client records. Write operations require that the API key belongs to a workspace admin or owner with appropriate permissions.

What happens if the API key does not have permission for a requested action?

The agent will receive an access denied response from Clockify's API and communicate this clearly to the user. It will explain that the requested action requires higher permissions and suggest contacting a workspace admin. No silent failures occur.

How is this different from just using Clockify's dashboard?

The dashboard requires logging in and navigating menus. Tars lets your team ask questions in natural language through Slack, WhatsApp, or your website and get immediate answers. It is especially useful for non-admin users who need quick information without full dashboard access.

Does the integration support multiple Clockify workspaces?

The API key is scoped to the workspaces accessible by the authenticated user. The agent can list all workspaces and then query specific ones. If your organization uses multiple workspaces, the agent can retrieve data from any workspace the API key has access to.
