How does the AI agent find mutually available times using CalendarHero?

The agent creates a meeting request through CalendarHero's Create Meeting Request API with participant emails and a date range. CalendarHero's intelligent group scheduling algorithm analyzes all participants' calendar availability, detects time zones automatically, and identifies the best meeting time for everyone. The agent does not need to poll each person individually.

Can the agent create contacts with company and job title information?

Yes. The Create Contact endpoint accepts name, email, organization, job title, and phone number fields. When a prospect provides these details during conversation, the agent stores them in CalendarHero so future meeting requests auto-populate attendee information. Existing contacts can be updated through the Update Contact endpoint.

Where do I find my CalendarHero API token for connecting to Tars?

Log into your CalendarHero account, navigate to My Account, then My Profile Settings, and select the API section. Your authentication token is displayed there. Copy and paste it into the Tars tool configuration. The token provides access to meetings, contacts, and calendar endpoints.

Does Tars retain any of my CalendarHero meeting data or contact records?

No. Tars queries CalendarHero's API in real time during each conversation. Meeting schedules, contact details, and calendar configurations are fetched live and never cached or stored on Tars servers. Your scheduling data stays entirely within CalendarHero.

Can the agent send reminders only for specific meeting types like demos?

Yes. The agent can first fetch meetings in a date range using the List Meetings endpoint, filter for meetings matching your demo meeting type, and then send reminders via CalendarHero's Send Reminder endpoint for each qualifying meeting. You control which meeting categories trigger reminders.

Does CalendarHero's time zone detection work when the agent creates meetings?

Yes. CalendarHero automatically detects each participant's time zone based on their profile and calendar settings. Meeting times are proposed in each attendee's local time. The agent provides the date range in ISO 8601 format, and CalendarHero handles all time zone conversions.

How is this different from just sending a CalendarHero scheduling link?

A scheduling link requires the prospect to leave your conversation, open a new page, and self-serve their booking. Tars keeps the interaction in context, qualifies the lead, answers questions about your product, and schedules the meeting seamlessly within the same chat. Contact details are captured along the way, enriching your CalendarHero database automatically.

Can the agent list which calendar providers are connected to CalendarHero?

Yes. The List User Calendars endpoint returns all connected calendar integrations, including Google Calendar, Outlook, and iCloud. The agent can also include organization-level calendars with the org parameter. Use this to troubleshoot sync issues or verify that all team members' calendars are properly connected.
