How does the AI agent find the right file in Box when a customer asks for a document?

The agent uses a combination of folder navigation and file metadata. It calls Get Folder Information to browse directory contents, matches files by name, date, or metadata fields, and retrieves details via Get File Information. You can configure customer-to-folder mappings so the agent knows which Box directory corresponds to each account.

Can the agent create shared links with expiration dates and passwords?

Yes. The Add Shared Link to File endpoint supports access levels (open, company, or collaborators only), password protection, expiration timestamps, download permissions, and custom vanity URLs. The agent applies your sharing policy automatically based on the document classification and the recipient.

What Box permissions does the Tars integration require?

Tars connects via OAuth with read and write scopes. Read scope covers file retrieval, folder browsing, and metadata queries. Write scope enables uploads, shared link creation, and folder management. You authorize from your Box admin console and can revoke access anytime without affecting other Box integrations.

Does Tars store copies of files downloaded from Box?

No. Tars facilitates the file transfer between Box and the customer but does not cache or store document contents. When generating shared links, the file stays in Box entirely. When using the Download endpoint, the binary content passes through to the customer without being persisted on Tars servers.

Can the AI agent answer questions about what is inside a document?

Yes. The Ask Question endpoint powered by Box AI sends the document to a language model that reads the content and returns specific answers. Your agent can extract contract terms, summarize reports, or find specific clauses within files up to 1MB in text. This requires a Box plan that includes Box AI capabilities.

What happens if a customer requests a file they do not have permission to access?

The agent respects Box's permission model. If the authenticated connection cannot access a file or folder, the API returns an authorization error. The agent communicates this to the customer and offers to escalate the request to someone with the appropriate access level. No unauthorized files are ever exposed.

How is this different from sending customers a Box shared link manually?

Manual sharing requires a team member to locate the file, generate the link, and paste it into an email or chat reply. Tars automates the entire workflow. The customer asks, the agent finds the file, creates the secure link with your sharing policy applied, and delivers it within the same conversation. Seconds instead of hours.

Can the agent handle file uploads from customers during a conversation?

Yes. The Upload File endpoint lets the agent accept documents from customers and place them in the designated Box folder with proper naming and attributes. This works for collecting signed contracts, onboarding documents, insurance certificates, or any file your workflow requires from external parties.
