# Email analytics reports

> Send the Analytics overview by email every week or month, with a PDF copy, to people who do not sign in to Tars.

Reports carry numbers and topic names, never conversation text. Recipients do not need a Tars account, so a report reaches stakeholders who never sign in.

## Before you start

Before you start, sign in to [the dashboard](https://dashboard.hellotars.com) and select the organization you want to work in.

* You need the Admin role. **Reports** appears in **Settings** only for members who can manage the organization.
* Reports use organization-wide **Live** data across deployments and channels. They do not inherit the deployment, channel, date-range, or **Test** filters currently selected in Analytics. The schedule determines the reporting period. Check that every recipient should receive this organization-wide report.
* Arrange the cards on the Analytics page first. The email follows that order. See [Change the layout](https://hellotars.com/docs/guides/analytics/overview-tab.md#change-the-layout).

## Turn on email reports

**1. Open Settings, then Reports**

The **Email reports** page opens.

**2. Turn on Send email reports**

The email shows the blocks of your Analytics overview, in the same order.

**3. Pick Weekly or Monthly under Schedule**

**Weekly** sends every Monday, for the week before. **Monthly** sends on the 1st, for the month before.

**4. Add recipients under Recipients**

Type or paste email addresses. Enter, a comma, a space, or a semicolon adds each address. Add up to 20 addresses.

**5. Select Save reports**

A **Report settings saved** message confirms.

Reports are sent at 13:00 UTC. The report period follows your organization's timezone.

## What the report holds

The email reuses your organization's saved card layout and chart palette, but not your current Analytics filters. It covers these cards when they are in the saved layout:

| Card | In the email |
| - | - |
| **Key metrics** | The tiles you chose for the card, in a block at the top. Each tile shows its unit, and its change from the previous period when the card shows one. The **CSAT**, **Waiting for an agent**, and **Open now** tiles stay in the dashboard. |
| **Funnel** | **Conversations**, with the outcome total when outcomes are set. When the period has web visitors, **Visitors**, **Opened the widget**, and **Started a conversation** come first. Answer steps stay in the dashboard. |
| **Topics** | The top 10 topics, with conversations and share. Until every topic list is updated, the section reads **Topics are updating** and links to Analytics. |
| **Fields captured** | Up to eight fields from the report's field list. |
| **Sources** | Up to five rows each for **Pages**, **Referrers**, and **Campaigns**, showing **Conversations** and **Visitors**. **Sites** and **Bots and crawlers** stay in the dashboard. |
| **Busy hours** | The grid for **Visitors**, with the busiest hour. |
| **Team** | A **Reply time** section for **AI reply** and **Human pickup**, with **Median**, **Slow**, and **Slowest**. **Slow** is the time that 90% of replies beat, and **Slowest** is the time that 95% beat. |
| **AI performance** | A **Handled by** section that splits conversations into **AI alone** and **Human joined**. |
| **Trends**, **Countries**, **Devices** | The same numbers as the card for the report's period and scope. |

**Campaigns**, **Components**, **Labels**, **Tools and integrations**, and **WhatsApp messages** stay in the dashboard.

The email uses the chart colors an Admin saved on the Analytics page. See [Pick chart colors](https://hellotars.com/docs/guides/analytics/overview-tab.md#pick-chart-colors).

A PDF copy of the same report is attached. If the report holds a character the PDF cannot render, such as an emoji or a script outside Latin, the email is sent without the PDF.

## Stop or change a report

To stop all reports, turn off **Send email reports** and select **Save reports**. To remove one recipient, remove the address from **Recipients** and save. The email has no unsubscribe link, so a recipient asks an Admin to remove them.

## Verify

After the next Monday or the next 1st, check that recipients receive the report for the expected period. The supported cards follow your layout order. A PDF is attached when it can be generated. The footer says the email has numbers and topic names, no conversation text.
